Role: Instruments Coordinator

Contract: Permanent, 37.5 hours per week

Phoenix Hospital Group is a dynamic, fast growing independent hospital group which currently operates two hospitals in central London and Essex and two Harley Street outpatient and diagnostic centres. It has ambitious plans to grow and is now keen to appoint an exceptional Instruments Manager to support the next stage of its development.

Our Instrument Coordinator plays an essential role in the smooth running of our theatres and helps us maintain our exceptional levels of care. Effective instrumentation management assists the wider theatre team with the safe passage of patients through the surgical pathway and is responsible for ensuring that instrumentation required for operations are available

Core Responsibilities

  • Handling contaminated instruments, preparing them to be transferred to the Sterilisation Departments, packing sterile instruments away on their return.
  • Ensuring there is accurate documentation for all instruments leaving and returning to the hospital
  • Management of instrumentation needs based upon Operating Theatre schedule
  • Responsible for identifying, managing and coordinating refurbishment of damaged instruments
  • Identifying any trends associated with damage and implementing training or supervision to prevent continued damage and ensure cost savings
  • Make recommendations to future instrument orders based on analysis of past tray builds and fast track usage
  • Independently determines appropriate container size for instrument containers, assess needs for custom-made instrument carriers
  • Advise Operating Theatre team building new instrument trays if needed, documenting manufacturer recommendations, and getting new trays into circulation
  • Identify and manage approaches for storage and purchasing of inventory
  • Act as an instrument expert and resource for staff related to instrument needs
  • Ensure effective training of theatre and HCA staff in instrument care and handling
  • Ensure trays are available for routine use by getting trays back into circulation as required
  • Maintains a well-organized instrument storage area, controlling and managing peel-pouched instrumentation
  • Maintains accurate database of instruments ordered for services provided
  • Check the invoices to ensure correct billing and escalate issues where appropriate. Manages and resolves any billing issues.
  • Organise and liaise with other companies and hospitals to source loan sets and equipment where needed
  • Maintain accurate and up to date inventory/supplies for instruments
  • Performs regular audits on instrument trays (as needed)
  • Ensure cost savings are identified and any recommendations implemented in sterilisation and instrument management

Required skills & experience

  • Has experience working in a theatre/sterile services environment
  • NVQ/QCF Qualification at level 2 or 3 (or working towards)
  • Experience of working in the independent sector preferable
  • Demonstrated awareness of importance of working as part of a multi-disciplinary team
  • Demonstrated understanding of excellent practice in Customer Care
  • Awareness and knowledge of current issues, protocols and policies of the surgical centre
  • Flexible approach to working hours as the service requires
