Role: Bookings Coordinator

Location: Weymouth Street Hospital, Central London

Contract: Permanent, full-time

Hours: 37.5 hours per week (typically Monday to Friday but possibly some Saturdays)

 

As the Bookings Coordinator, you will provide vital support of the highest quality to our patients, Consultants and Secretaries to ensure a seamless process of booking in procedures, both surgical and non surgical. The role requires a strong focus on providing a professional, efficient service to all key stakeholders. The Bookings Coordinator will communicate effectively within a multi-disciplinary team and with other key hospital departments,  supporting and championing  excellence in patient care. The post holder may also be required to cover other members of the administrative team from time to time. The post holder will also provide administrative support to Phoenix Hospital Group, as required and where possible.

Duties and Responsibilities

  • Provide full Bookings Coordinator support within the Reservations team to ensure that;
  • Management of case bookings, communicating with patients, consultants and their practice managers to pro-actively facilitate bookings;
  • Responding to all patients and key contacts in a timely manner to pricing enquiries and escalating any pricing issues where further advice is required;
  • Ensuring booking forms are checked and input into the PMS accurately, ensuring they prices are checked and any discrepancies identified and escalated as needed;
  • To ensure a professional and courteous manner to all customers i.e. patients, GP’s, Consultant, secretaries and all other visitors to the department;
  • Liaising with insurers to ensure cases receive appropriate authorisation;
  • Pro-actively finding solutions to ensure cases are booked when most convenient to patients and surgeons;
  • Ensure that the booking of inpatient bookings are as efficient and thorough as possible, taking full patient details at the first point of contact either by telephone or in person in compliance with minimum data set requirements;
  • Accurately register new patients and maintain correct data;
  • Ensuring payments are taken in a timely manner as instructed by management;
  • Completing any required reports on a regular basis;
  • To ensure the hospital team are kept informed of all issues relating to the consultant requirements, Surgical Lists and other bookings;
  • Communicate effectively and sensitively with patients and ensure the highest customer quality care and confidentiality;
  • To ensure confidentiality at all times;
  • To ensure that any last minute cases are proactively supported to take place, co-ordinating with the theatre manager, ward manager and any other key staff;
  • To perform any other duties as required within capability;
  • To promote the services of the department to new and existing Consultants and patients to encourage smooth processes and continue to drive volume through the department;

Skills & Experience

  • Educated to A-Level standard as a minimum (or equivalent);
  • Experience of working in an administrative capacity within a private, NHS or primary care setting;
  • Highly organised and professional at all times;
  • Dependable;
  • Impeccable telephone manner;
  • Good verbal and written communication skills;
  • Ability to prioritise workload;
  • Good level of numeracy as well as a good and accurate typing speed;
  • Excellent Customer service skills essential;
  • Experience with Compucare highly desirable;
  • Excellent multi-tasker , communicator with incredible attention to detail
  • Positive and pro-active manner
